AI & workflow systems

Make AI useful. Keep people in control.

Move from scattered experimentation to practical, understandable ways of working. Define where AI helps, what it can use and when a person needs to decide.

Responsible AI Operating Pack

For small teams using AI informally or considering a defined workflow, with someone available to own the process and review the results.

  1. 01

    An inventory and fit assessment

Record current uses, tools and information types, then choose a bounded workflow worth improving.

  2. 02

    An operating guide

Define suitable uses, data boundaries, source checks and the decisions reserved for people.

  3. 03

    A tested workflow

Map the steps, responsibilities, quality checks and failure or escalation paths using suitable examples.

  4. 04

    A responsible handover

Provide a staff guide, supplier questions, incident workflow and a 90-day review plan.

Illustrative team reviewing a shared plan
Illustrative scene. Your project starts with your people and priorities.
What you bring
  • A clear task, its owner and examples of acceptable results.
  • An agreed information boundary and suitable de-identified or synthetic samples.
  • People who can review output and exercise the recovery steps.
How we agree it works
  • The team can explain what the workflow does and where human review occurs.
  • Agreed example cases exercise normal operation, missing evidence and failure.
  • A nominated owner can stop the workflow, correct an error and resume safely.
Scope & practical arrangements

No provider purchase or live integration is assumed. Sensitive data, API access and automation permissions are considered against the actual task. The pack is not a cyber certification or a guarantee of legal compliance.

A written proposal sets out price, timing, responsibilities, approvals and provider costs.

A few useful answers.

Do we need to buy new software?

Not necessarily. We start with the work and the tools already available. Any recommended subscription or integration is costed and agreed separately.

Will AI replace the person responsible?

No. The workflow identifies a human owner, the decisions they retain and the checks required before an output is relied on or shared.

Can we start with one task?

Yes. A small, repeatable task with clear success criteria is usually easier to test, learn from and maintain than an organisation-wide rollout.

How are timing and price set?

After the first discussion, a written proposal confirms the agreed scope, stages, responsibilities, timing, price and any third-party costs. No work begins from an assumed or historical estimate.

Who owns the finished work?

The proposal and handover state ownership, licences, access, editable source files and any ongoing provider costs. Existing client material remains the client’s; third-party assets keep their own licence terms.

How is confidential information handled?

The first enquiry should contain no sensitive material. If the work needs protected information, the handling method, access, storage, review and deletion arrangements are agreed before it is provided.
